Description of General Responsibilities

The position provides support and management of the fiscal, administrative and personnel administrator functions of the Department of Sociology and serves as office manager. Responsibilities include, but are not limited to: managing phones and correspondence; all fiscal activities assigned to the department; assisting the Chair, Associate Chair, Student Adviser, Graduate and Undergraduate program directors, core and adjunct faculty (~22), and graduate teaching assistants with clerical and administrative tasks; managing the calendar of the Chair and the student adviser; assisting with course scheduling; assisting with student advising; maintaining budgetary records; managing travel, purchasing and reimbursements; supervising work-study/student workers; coordinating meetings and events; coordinating marketing and social media; managing and drafting a newsletter; assisting with data driven assessment and planning for the department; managing personnel contracts; maintaining adequate supplies; and ensuring the physical environment and technology needs are functional and well maintained. It is expected that the employee is able to understand how to connect their tasks and new processes/systems to the broader department and CH&S goals and initiatives in order to move the department’s mission forward and to foresee departmental challenges and opportunities.

Required Qualifications

Required Skills:
-Proficiency using Microsoft Word, Excel and publishing software
-Proficiency using Adobe Professional Suite
-Proficiency using Google Apps (Calendar, Forms, Drive, Docs, Sheets, etc.)
-Exceptional verbal and written communication skills
-Exceptional guest service skills
-Strong organizational skills
-Proficient knowledge of accounting

Required Abilities:
-Demonstrated ability to work independently
-Demonstrated ability to prioritize work and handle multiple priorities simultaneously
-Demonstrated ability to solve problems independently and with available resources
-Demonstrated writing and editing abilities
-Proven ability to attend to details and meet deadlines
-Ability to interpret and calculate data, especially financial data

-Demonstrated record of dependability and reliability; excellent history of attendance required.
-Undergraduate degree or equivalent work experience.

Preferred Qualifications

Preferred Skills and Abilities:
-Proficiency using a number of university-specific programs including, but not limited to, Banner, Chrome River, Christopherson, etc.
-Preferred knowledge of the University and College of Humanities & Sciences
-Preferred knowledge of State and University purchasing policies and procedures
-Preferred knowledge of State and University rules and regulations
-Some college/Bachelor’s degree or equivalent experience preferred.
-Prefer background in Sociology or demonstrated knowledge of the discipline of Sociology
-Prefer background in student advising
-Proficiency with photo and video editing
-Proficiency in website design using WordPress
