Description of the Job

The Graduate Assistant for Fitness & Instructional Programs assists with the administration and management of the personal training program, small group training program, fitness assessments, instructional programs, and special events. This position encompasses a wide variety of personnel management, program administration, and program assessment and evaluation. This position assists in the direct supervision and leadership for the personal trainers and instructors while reporting to the Fitness Coordinator.


Fitness and Instructional Programming:
● Assist in the management of the Personal Training program.
● Manage the registration process for Personal Training and related programs.
● Provide leadership and direction for departmental fitness programming that supports student success.
● Assist with the creation and implementation of fitness and wellness-oriented presentations, workshops, and seminars.
● Assist with creation and revision of policies and procedures for the Fitness and Wellness program.
● Assist with the management of fitness and wellness special programs, including the creation of new programs, projects, and initiatives.
● Instruct classes based upon certifications to practice and employ fitness instructional skills and maintain professional competencies.
● Design and implement health and fitness programs for a variety of offerings such as small group training and instructional programs.
● Assist with the management and administration of additional instructional programming offerings including tennis lessons, combative sports, Olympic Weightlifting, and dance classes.

Personnel Management:
● Assist with the direct supervision of the personal trainers and other instructional programming personnel.
● Recruit, hire, train, develop, schedule, supervise, and evaluate the personal trainers.
● Implement and manage a fitness instructor program.
● Create an environment that promotes and facilitates student learning and development.
● Actively participate in the student development program including new employee orientation, the annual employee training program, developmental events, and ongoing training sessions and in-services.
● Regularly monitor staff time and verify payroll.
● Identify partnerships to train and recruit new personal trainers and instructional personnel.
● Act as a standing member of the student development and recognition committee.

Risk Management:
● Provide an effective risk management plan for those participating in personal training or instructional programs.
● Monitor participants and personal trainers to ensure exercise routines are in alignment with best practices and industry standards, including demonstrating knowledge of proper modifications for high-risk participants.
● Ensure all staff maintain appropriate certifications required for their positional duties.
● Schedule training/certification classes and/or provide instruction in First Aid and CPR/AED for employees.
● Conduct regular risk management audits of activities, facilities, and equipment and report work order needs to the Facilities Maintenance Coordinator or Facilities Equipment Coordinator.

Program Promotion/Public Relations:
● Assist with the development of strategies to publicize and promote personal training and instructional programs.
● Collaborate with the Fitness Coordinator and Assistant Director for Marketing & Communications to create marketing and promotional materials for the personal training program.
● Actively participate in the promotion of the fitness and wellness program by staffing outreach events.

Fiscal/Statistical/Database/Equipment Management:
● Identify, implement, and utilize appropriate assessment and program evaluation strategies to inform policy and procedural decision-making, programming, facility operations, and resource allocation.
● Conduct regular equipment inventories and research new equipment and other resources following established procurement guidelines.
● Assist with the development and management of annual budgets for the personal training program.
● Assist with the recording of equipment and facility usage in the personal training and instructional programs.

General Administration:
● Attend, lead, and actively participate in staff meetings, in-service education sessions, and other divisional or departmental meetings.
● Participate in other Division of Student Affairs initiatives, programs, and committees as required.
● Collaborate with other university departments in support of the university’s academic mission.
● Assist in the overall operation of the department by providing input and completing assigned projects, annual goals and objectives, and annual reports.
● Maintain professional skill sets and certifications as appropriate for job responsibilities and as a campus recreation professional.
● Perform other duties as assigned by the Fitness Coordinator and Assistant Director for Fitness & Wellness.

Required Qualifications

● Bachelor’s degree in Exercise Science, Kinesiology, Recreation or related field
● Acceptance into a Graduate Studies program at Virginia Commonwealth University
● Must carry a class load equivalent to a full time Graduate Assistant (12 hours per semester)
● Must maintain a 3.0 GPA or higher
● Two years of experience personal training
● National Personal Training certification by ACE, ACSM, NASM, NSCA, or equivalent
● Knowledge of current practices and standards in fitness programming and exercise technique
● Ability to instruct fitness classes requiring significant physical activity
● Demonstrate the willingness and ability to lead and learn
● Ability to take initiative, problem solve, and meet deadlines
● Excellent written and oral communication, interpersonal, and organizational skills
● Demonstrated administrative skills in planning, implementing and evaluating programs
● Demonstrated experience in all aspects of personnel management and staff development; ability to motivate and supervise staff
● Ability to lift and handle physical equipment set-ups for various activities

Preferred Qualifications

● National Group Exercise certification by ACE, ACSM, AFAA, or equivalent
● Previous experience with software applications utilized for the administration of fitness and wellness related programming.
● Experience in supervising student employees
● American Red Cross First Aid/CPR/AED Instructor

● Position involves working some evenings and some weekends
● Position is located in a non-smoking work area

Additional Information

• Acceptance into the Graduate Studies program at Virginia Commonwealth University required.
• Full VCU tuition and fee waiver, not to exceed $24,000 annually
• $9,000 stipend paid in bi-monthly installments for a nine-month appointment from August – May
• Hourly summer employment at the rate of $15 per hour available upon request
• $500 – $1,000 for professional development available annually depending upon need and requests.
